Now a store wants an EPUB, and what you have is a 90,000-word
.docx
where every chapter title is 18-point bold Garamond, centred, with a page break above it. It looks like a book. Convert it and you get an ebook with no chapter list, images that vanished, and a wall of text ignoring every page break you inserted. Nothing went wrong — the converter matched the structure you applied, and visually-formatted chapter titles have no structure to match.

Quick answer: Apply Word’s built-in Heading 1 style to every chapter title (Heading 2 for sub-sections), set every image to In Line with Text, and delete manual page breaks, columns and text boxes. Then convert at DOCX to EPUB — there are no settings to get wrong, because the manuscript decides the outcome. It is a ZIP container — the spec calls it an OCF container — holding a package document with your metadata and manifest, one or more XHTML content documents, CSS stylesheets, your images, and a navigation document that reading systems display as the chapter list. EPUB 3.3 became a W3C Recommendation on 13 January 2026, and EPUB 3 is what a modern conversion produces.

Notice what is missing from that list: pages. There is no page in an EPUB. The reader’s device decides where text breaks, from its screen size and the font size the reader picked. That single fact explains almost every “conversion problem” writers report — a manual page break has nothing to break, a floating image pinned to page 47 has no page 47, headers and page numbers describe furniture that does not exist, and two columns cannot be columns on a 3-inch portrait screen.

What does survive is anything you expressed semantically rather than visually. Word’s Heading 1 is not “big bold text” — it is a machine-readable declaration that this paragraph is a top-level section title. That becomes an
<h1>
in the XHTML and an entry in the navigation document. Bold 18-point text declares nothing.

The safety net, and exactly where it has holes

Our DOCX-to-EPUB path is not a dumb converter. It runs the document-to-ebook route with heuristic processing and smart punctuation switched on, outputs EPUB 3, and embeds and subsets the fonts your document references. The heuristics exist precisely because most manuscripts are not perfectly styled.

Calibre, whose conversion engine performs this step, documents what those heuristics attempt: unwrapping hard-wrapped lines from “punctuation clues and line length”, marking up unformatted chapter headings, deleting blank lines between paragraphs while preserving intentional scene breaks, formatting scene breaks consistently, removing unnecessary hyphens, and italicising conventional patterns. Smart punctuation replaces “plain quotes, dashes and ellipses with their typographically correct alternatives” — and the manual is candid about the limits: “Note that this algorithm is not perfect so it is worth reviewing the results.”

Good safety net. Still a net, not a floor:

What the heuristics do well

Where they can’t help

Recognise an obvious
CHAPTER ONE
line and mark it up as a heading

A chapter title that is a character’s name in italics, indistinguishable from body text

Strip the blank paragraphs you used as spacing

Restoring a floating image that has no anchor point

Straighten hard-wrapped lines pasted in from a text file

Rebuilding a two-column layout as flowing prose

Curl your quotes and turn
--
into an em dash

Deciding which of your 41 bold lines are chapter titles and which are just emphasis

The rule that follows is simple. Every heuristic is a guess; a Heading 1 style is not a guess. Where you can convert a guess into a fact by spending ten seconds in Word, do it.

Manuscript pre-flight, in order of damage

Work down this list. Change the font size twice, small then large, and confirm the text reflows without overlapping or clipping. Then tap through every entry in the chapter list. A missing chapter means a missing Heading 1 in Word, not a broken converter.

Run it through EPUBCheck, “the conformance checker for EPUB publications”, maintained by the DAISY Consortium as a W3C project and available as a command-line tool and a Java library. Most retailers run something equivalent on ingest, so catching a validation error yourself beats having a store bounce your upload a week before launch.

Keep the
.docx
as your master: fix things in Word and reconvert, because editing the EPUB instead is how small errors become permanent.

Kindle: hand Amazon the EPUB

This trips up nearly everyone, because the advice online is a decade stale.

Kindle devices do not read a raw sideloaded EPUB, but that does not mean you need a Kindle-format file. Amazon’s own Send to Kindle page currently lists its supported file types as PDF, DOC, DOCX, TXT, RTF, HTM, HTML, PNG, GIF, JPG, JPEG, BMP and EPUB, with a maximum file size of 200 MB. Amazon converts what you send on its side. MOBI is not on that list — do not spend time making one.

DOCX is on the list too, so why convert at all? Because if you hand Amazon the Word file, its converter makes every structural decision for you, unseen, and you find out how it went once the book is on the device. Converting to EPUB yourself lets you open the result, click through the chapter list, run the validator and fix the manuscript before Amazon, Kobo or Apple Books touches it. The EPUB is the artefact you can inspect.

Convert your manuscript on xconvert

Finish the pre-flight above in Word. That is the part that determines your result; everything after it is mechanical.

Open xconvert.com/convert-docx-to-epub and click Upload to add your manuscript. Only modern
.docx
(Word 2007 and later, Office Open XML) is accepted — for a legacy
.doc
, run it through DOC to DOCX first.

Leave Advanced Options alone. There is no quality slider here and that is deliberate: the settings are already tuned for a valid, navigable EPUB 3.

Click convert and download the EPUB. Your file uploads over an encrypted connection, is converted on our servers, and is deleted automatically a few hours later. No sign-up, no watermark.

Open the result in a reader app, resize the text, and click through every chapter before you send it anywhere.

If your book is really a print design — a cookbook with boxed sidebars, a textbook with figures pinned beside paragraphs — a reflowable EPUB will fight you. Keep the fixed page with DOCX to PDF instead. And if your source is a PDF rather than a Word file, that is a messier job, covered in converting a PDF to EPUB.

FAQ

My table of contents is empty. What did I do wrong?

Your chapter titles are not styled as headings. The navigation document is built from real heading markup, and text that is merely enlarged and bolded is an ordinary paragraph to any converter. Select each chapter title in Word, apply Heading 1, convert again. The heuristics catch obvious cases like a line reading
CHAPTER ONE
, but not a title that looks like prose.

Why did my images disappear?

Almost always because they were floating rather than inline. A reflowable ebook has no page coordinates to position an image against, so anchored and floating pictures frequently drop out. Select each image in Word, open Layout Options, set it to In Line with Text.

Should I make a MOBI or AZW3 for Kindle?

No. Send to Kindle accepts EPUB and converts it on Amazon’s side; MOBI is not among its listed supported file types. Produce a clean EPUB, proof it, send that. A Kindle-format file made yourself adds a conversion generation and solves nothing.

The fonts and line spacing look nothing like my Word document. Is that a bug?

No — that is what reflowable means. The reader chooses the font, size, margins and often the line spacing; the file supplies structure, the device supplies presentation. Only structural styling is guaranteed to carry. If exact typography is non-negotiable, you want a PDF.

Do I need to fix my straight quotes and double hyphens first?

No. Smart punctuation runs as part of the conversion. The engine’s own manual says the algorithm is not perfect and that it is worth reviewing the results, so read a few pages of output — apostrophes at the start of a word (
'tis
,
'90s
) are where it classically guesses wrong.

Sources

Last verified 2026-08-31.

W3C — EPUB 3.3 — W3C Recommendation dated 13 January 2026; defines the publication as a set of interrelated resources in an OCF container: package document, XHTML content documents, navigation document and CSS.

Amazon — Send to Kindle — supported file types listed as PDF, DOC, DOCX, TXT, RTF, HTM, HTML, PNG, GIF, JPG, JPEG, BMP and EPUB, with a 200 MB maximum file size.
